Listing a Laptop on eBay

Step-by-step for technicians: how to add a laptop to inventory and then list it on eBay through the Internet Sales module.

Before You Start

  • Have the laptop in front of you — you'll need to read the serial number, specs, and check physical condition.
  • Take photos first. 4–8 photos: front, back, keyboard, screen on, any damage. Save them to the machine you'll be working from so you can upload them during intake.
  • Log in at exp.scottrecycling.com.

Part A — Add the Laptop to Inventory

Menu: Inventory Processing → Quick Entry → Laptop Quick Entry

Required fields

The form will reject the save without these:

Grading quick reference

  • A — Looks new. No scratches, screen perfect, battery holds charge.
  • B — Light wear. Minor marks, fully functional. Most used laptops go here.
  • C — Visible wear. Scratches, dings. Works fine.
  • D — Heavy wear. Works but ugly. Expect to list at a lower price.
  • Screen Size — 14, 15.6
  • Operating System — Windows 10/11 Pro/Home
  • Photos — Upload them on this form, not in the eBay wizard later. Photos flow from the inventory record into the listing automatically.

Save

The system auto-generates a suggested price from the specs. Don't worry if it looks low — you'll override it in the eBay step.

Verify: Inventory Processing → Inventory Lists → Laptops. Your laptop should be at the top of the list.

Part B — List It on eBay

Menu: Internet Sales → Listings (or click Post to eBay directly on the laptop's form)

Step 1 — Select Item & Price

  1. Use Template — optional. Pick a saved template (e.g., "Dell Latitude - Business Laptop"). Templates fill in category, condition, shipping cost, and description. Templates do not pick the item.
  2. Item — pick the laptop you just entered. Only unlisted items appear in this dropdown.
  3. The wizard auto-fills manufacturer, model, CPU, RAM, storage, screen, grade, OS from Inventory Processing. If the specs look wrong, go back and fix them in Inventory Processing. Do not override here.
  4. Listing Price — override the auto-suggested price if it's off. Click Research Prices to see what comparable laptops go for on eBay.
  5. Shipping Cost — default is $12. Adjust if needed.

Click Next.

Step 2 — Listing Details

  1. Title — auto-generated. eBay hard limit is 80 characters; the counter shows characters remaining. A good title includes brand, model, screen size, CPU, RAM, storage, condition. Example: 
    Dell Latitude 7440 14" i5-1345U 16GB RAM 512GB SSD Win11 Pro Grade B
  2. Category — pre-filled from template. Don't change unless the template was wrong.
  3. Condition — pre-filled from the grade:
    • A+ = Certified Refurbished
    • A = Seller Refurbished
    • B = Used - Excellent
    • C = Used - Very Good
    • D = Used - Good
  4. Condition Description — optional. Put specific flaws here ("small scratch on lid, no dead pixels").
  5. Description — pre-filled from the template's HTML. Review it, add anything item-specific. Don't promise what isn't true.

Click Next.

Step 3 — Preview & Post

  1. Review everything: title, price, photos, description.
  2. Click Post to eBay.
  3. On success: you'll get a listing ID and a link to the live eBay listing.
  4. On error: read eBay's message carefully — it usually says exactly what's wrong (e.g., "missing item specific: Processor"). Fix and retry.

After Posting

  • On the laptop's inventory form, Listed on eBay flips to True and eBay Listing URL points at the live listing.
  • To end the listing early: Internet Sales → open the listing → End Listing.
  • When it sells: Internet Sales imports the order automatically and marks the item sold.

Common Errors

Rules of Thumb

  • Don't edit specs in the eBay wizard. The wizard reads from Inventory Processing. Fix source, not the listing.
  • Templates = defaults. They don't filter which item you list. Pick the right item manually.
  • Photos matter more than words. Listings with 4+ photos sell 2–3× faster.
  • Grade honestly. Returns cost more than the price bump of over-grading.
  • Test with one listing first before batching. Confirm the first listing looks right on eBay before running through 20 more.
