Service Window Policy¶
A service window locks us into a specific arrival timeframe for a pickup, which limits routing flexibility and can cause scheduling conflicts.
Rules¶
- Do not set a service window unless absolutely necessary. Leave the window at the default (0.00) when scheduling a pickup.
- A service window should only be entered when the customer specifically requires a narrow arrival timeframe.
- Manager approval is required before entering a service window.
Why This Matters¶
Service windows constrain the routing system. When a pickup has a fixed arrival window, the route optimizer has less flexibility to arrange stops efficiently. This can:
- Increase drive time for the entire route
- Push other pickups to later dates
- Reduce the number of stops a truck can handle in a day
What to Do¶
- When a customer asks for a specific arrival time, first try to set expectations — explain that we schedule by date, not by exact time.
- If the customer insists on a time window, get manager approval before entering it.
- Enter the window in the Service Window fields of the Add a Note wizard (see Scheduling a Pickup).
Force Pickup Policy¶
Forced pickups bypass route optimization and are logged for manager review. Use only as a last resort.
Rules¶
- Always try the Refresh button first to find an available date.
- Only use the Force toggle when no suitable date is available and the pickup cannot wait.
- Every forced pickup is logged with your name and reviewed by management.
Why This Matters¶
The scheduling system optimizes routes based on truck capacity, driver availability, and geographic clustering. Forcing a pickup overrides these optimizations, which can:
- Overload a truck's schedule for the day
- Create inefficient routing (extra miles, wasted time)
- Impact other scheduled pickups on the same route
What to Do¶
- Click Refresh to let the system suggest the best available date.
- If no dates work, try adjacent dates or a different truck.
- If you must force, enable the Force toggle and select the date (see Scheduling a Pickup).
- Be prepared for your manager to follow up on forced pickups during review.
