Portal Inventory

Overview

The Portal Inventory module provides a portal-based inventory management system with barcode scanning and custom product categorization. Warehouse staff use it to scan received items, manage staging locations, and maintain customer-specific sales lists. The portal interface is designed for speed and simplicity on the warehouse floor.

Portal Interface

The portal dashboard provides quick links to the three main workflows:

Individual Inventory Scanning

This workflow is for scanning items one at a time with detailed categorization.

How It Works

  1. Select a Product Category from the dropdown
  2. The system auto-loads survey questions specific to that category (e.g., "Screen size?" for monitors, "Capacity?" for hard drives)
  3. Scan or enter the Barcode
  4. Answer the category-specific questions
  5. Save the item and move to the next

Category Questions

Each product category has configurable survey questions that appear during scanning:

Question Type Description Example
Text Free-form text input "Enter serial number"
Option Dropdown selection from predefined choices "Condition: New / Used / Damaged"
Model Lookup from an Odoo model (e.g., manufacturer list) "Select manufacturer"

Questions can be marked as Mandatory to require answers before saving.


Weighted Inventory Scanning

The weighted scanning interface handles bulk barcode entry for materials tracked by weight.

  • Real-time validation confirms each barcode as it is scanned
  • Running totals update automatically
  • Designed for high-volume receiving workflows

Verification Status

Inventory items are tracked through a verification workflow:

Not Verified → In Progress → Verified
Status Meaning
Not Verified Item has been scanned but not yet checked
In Progress Verification is underway (some lines verified, some pending)
Verified All lines have been verified and confirmed

The overall verification status is computed automatically from the verification state of individual line items. When all lines are verified, the parent record moves to Verified.


Location Management

The module tracks physical locations and supports transferring items between them.

Transfer Locations (WIP Staging)

Items can be assigned to staging locations as they move through the warehouse workflow:

Fixed Location Tracking Items maintain a record of their assigned location
WIP Staging Work-in-progress locations for items being processed

Sales Lists

Sales lists are customer-specific product lists used to prepare orders.

Feature Description
Customer Assignment Each sales list is tied to a specific customer
Product Quantities Track quantities per product on the list
Duplicate Validation The system warns if a product is already on the list

Generate Manifest

The Generate Manifest feature exports inventory data to an Excel file. Use this to create shipping manifests, inventory reports, or records for external systems.


Common Tasks

Scanning Items into Inventory

  1. Open the Portal Inventory dashboard
  2. Click Individual Inventory Scanning
  3. Select the Product Category
  4. The category-specific survey questions load automatically
  5. Scan the item's Barcode (or type it manually)
  6. Answer all survey questions (mandatory ones are marked)
  7. Click Save to record the item
  8. Continue scanning the next item

Moving Items to a Staging Location

  1. Open the inventory item or select multiple items from the list
  2. Click Move or Transfer
  3. Select the destination Transfer Location
  4. Confirm the transfer
  5. The item's location is updated immediately

Creating a Sales List

  1. Open Sales List Management from the portal dashboard
  2. Click New Sales List
  3. Select the Customer
  4. Add products by scanning barcodes or searching by name
  5. Set quantities for each product
  6. The system validates for duplicates automatically
  7. Save the list

Tips

Use a barcode scanner for speed

The portal interface is optimized for barcode scanners. Point and scan to move through items rapidly -- the cursor auto-advances to the next field after each scan.

Verify items before transfer

Always verify scanned items before moving them to a staging location. Transferring unverified items can cause inventory discrepancies.

Check for duplicate products on sales lists

The system flags duplicates, but review the list before finalizing. Duplicate entries can lead to double-shipping.
